Cleaning up your
E-mail messages so you can use them again

When you copy text from an e-mail message, it may need some cleaning up before you can use it. For example, it may have lots of >, ^, and also unwanted paragraph marks at the end of each line that you'll need to get rid of. 

Here are the steps you'd use. (If you rarely use text from e-mails, you'll think of many other ways to use the Find/Replace feature.)

  1. Copy the text from an e-mail message / Paste into Word.

We'll first get rid of all the >.

  1. Press Ctrl+H.

  2. In the Find what box, type > (or >> if you have them).

  3. In the Replace with box, leave it blank (to replace > with nothing).

  4. Click Replace All / leave Find and Replace dialog box open.

And/or you may have lots of  ^.

  1. Type ^ in the Find what box and Replace All / leave Find and Replace dialog box open.

You might also have to get rid of all the extra paragraph marks that may be at the end of each line. (These instructions will also remove the blank spaces you now have at the beginning or end of each line in the text.)

  1. Select only the text you want to change because all your paragraph marks will be removed.

  2. Repeat the steps above, but type ^p in the Find what box and Replace All. (You're finding all paragraph marks and replacing them with nothing.)

  3. Click No to checking the remainder of your document.

If you decide not to remove the extra paragraph marks, but need to remove the blank spaces at the beginning and/or end of each line in the text (that occurred when you removed all the >).

  1. Select the text you pasted (or press Ctrl+A to select the entire document).

  2. Press Ctrl+E to center the selected text / then press Ctrl+L to re-left-align it. All extra spaces will be gone.

If you do the above a lot, you'll want to record a macro so you can execute the steps above with one click of a toolbar button or a keyboard shortcut that you create!

Easier way to address holiday cards - Part II

In the November issue of COPE, you made changes to your database to make creating mailing labels for holidays cards easier. Part II explains how to filter your database and only send cards to the people you've designated.

The following instructions are for those of you using the full version of Outlook 98-2000 and Word. A separate set of instructions for those using Excel for your database is also included. If you're using something different, as always, visit your software's Help for similar features. 

  1. From Outlook's Contacts view, click View, point to Current View, click By Category.

  2. Click the + sign (once) next to your Holiday Cards category (or whatever you named it) to expand the listing of names.

  3. Click on the first Contact in that category, scroll down to the last one, and hold down your Shift key, and click the last contact in that category.

  4. With your contacts selected in Outlook, click Tools, Mail Merge.

  5. Under Contacts on the Mail Merge dialog box, click Only Selected Contacts.

  6. Document File should be New Document.

  7. Document Type should be set to Mailing Labels to New Document.

  8. Click OK, and Outlook will initialize Word.

  9. Click OK to proceed to Setup.

  10. On the Mail Merge dialog box in Word, click Setup, choose the type of mailing labels you're using, click OK.

  11. Insert Mail Merge fields as you normally would, and proceed with your merge.

  12. Once your labels are complete, in Word, press Ctrl+A to select the entire document.

  13. If you have a color printer, change the ink color and/or typeface to something festive (but readable!).

  14. Print your labels as you normally would.

If you've ordered pre-printed holiday cards with your name/company name, sign them to make them more personal.

Believe it or not, I'm just now letting go of my Week At A Glance paper calendar. I just purchased the iPAQ 5555 and am getting used to this technology. So far, so good. I've also joined Club pocket pc Atlanta. We meet the last Thursday of each month (except Nov/Dec) to share tips, discuss product reviews, etc. We're about to ramp up for 2004, and I'll let you know more about that later.

I have a hard time balancing the time I spend marketing my business and the time I spend actually doing the work for clients in my business. When business slows down, I notice that I have not spent enough time marketing. 

Do I have to turn down business to make sure that I have business in the future?

Experts say that 80% of business is marketing so you can't ever not do it. Unfortunately, a lot of business owners think that putting an ad in the phone book or newspaper is all there is to it. 

If you haven't done so already, you should develop a solid marketing plan. Figure out what you want to be known for, who your target market is, and the best way to reach them without going broke. My favorite book that's loaded with ideas on how to market your business on a shoestring is 101 Ways to Promote Yourself by Raleigh Pinskey. Her ideas are simple and affordable.
 

Knowing precisely what you should do will then help you prioritize your time. To create more time for marketing without turning down business, you'll have to look at every aspect of how you spend your time and compare that with your goals. If you eliminate time and money wasters and organize, streamline, and automate every aspect of your life (based on your goals and values), you should be OK. 
 

If after all this, you still feel you need more time, think about hiring someone part-time to help you do things that are not your core business. 
 

Also evaluate your fees. A lot of times you can charge more, which may lead to fewer clients, but make more money.
